ALERTS

The alerts screen can be accessed from the left hand options menu by simply selecting the ‘Alerts’ button as shown below.

This ‘Alerts’ Screen shows all relevant Alerts in the system to the user. In this Alerts screen you can filter by Job Type, Jobs Status and by who this Alert is Assigned toYou can also sort Alerts in this screen by Project Name, Alert Type, Alert Status, Date entered and Due Date. 

Job Alerts 

The Job Specific menu items become active only once a job number has been entered as shown.(You can also use the search icon to find a valid job number through the tablet screen interface). 

Once the desired job is entered or selected and you have pushed Enter, the Job Alerts menu item will activate. You can now select ‘Job Alerts’

The ‘ Job Alerts’ screen shows all Alerts specific to that job number entered in the previous step. In this Alerts screen you can filter by Job Type, Jobs Status and by who this Alert is Assigned toYou can also sort Alerts in this screen by Project Name, Alert Type, Alert Status, Date entered and Due Date. 

 

Other options and features to ‘Alert’ Tablet screens

 
The Search functionality  is also available in both ‘Alerts’ and ‘Job Alert’ screens. You can search your Alerts by Project Name, Alert Type, Alert Status, Date entered and Due Date.

Creating a New Alert 

STEP 1 – 

In each of the Alerts Screens mentioned above, you also have the ability to Add Alerts by pressing button. 

Alerts can be created from the tablet interface which allows a photo to be taken and attach it automatically to the notification or alert message. A great tool to capture information on site and report back to the office or production. This can now happen directly from the source of where the issue is raised.

STEP 2 –

Click on the ‘Upload a file’ button to add a photo. You will then be prompted to use the camera on you mobile device. Select the camera icon on your tablet, take the photo and click OK. This will take a few seconds while the photo uploads. You can keep repeating this process with up to 4 photos per alert.

In this step, you can also fill in the Alert details giving a brief description about the alert raised. You can fill in the relevant fields such as Reported by, Date reported, Alert Status and Due date to rectify the details of the alerts.

You can also click on the uploaded images to add individual details about the image in the Alert (shown below). These details will save against the selected image in this particular Alert.

Once the images have been uploaded and all relevant fields and details are filled in, you may notice that the Save button is inactive as shown. This is because a Job number has not been entered. 

Step 3 –

Enter a Job Number. A Job Number must be entered in order to activate the email and save functionality of the alert. If a job number is not entered you will not be able to proceed further in creating the Alert.

This ensures that the alert raised is automatically associated to a job and action can be taken to rectify the situation straight away.

 You will notice that once a job number is entered, you will then be able to send an email or save the alert to the system.

Sending an Alert email

 
Simply click the  icon to send an email about the newly created Alert to other staff members to keep them informed . 
The ‘Alert’ Email window comes up and allows you to select the relevant staff members and type them an email, all within the tablet interface.
Once the message is ready and all the correct contact information is in place, you can click ‘Send Email’ (1). Straight away a message will pop up stating ‘Email sent !’ (2)

You can then ‘Save’ (3) the Alert to the system.

The saved alert will appear at the top of the alert listing screen. This shows that it has been saved to the system.
